Automatic PDF Processor

Automatic PDF Processor is a versatile software for automatically extracting PDF data. Regularly incoming PDF documents can be processed automatically after setting up an extraction rule once. Data can be captured in PDF documents with a variable or fixed position of the values to be extracted. For example, invoice information such as invoice date, number, total amount, or bank data can be stored in a CSV file or CSV collection file. Extracted PDF data can also be used for structured storage of documents by using placeholders, i.e., for the path or a meaningful file name of the respective document.


Any number of extraction rules can be created for extracting PDF data. Extraction rules also include optional validation and formatting of the extracted value and are part of a profile. A profile is used:

  1. To specify folders in which the PDF files to be processed are received.
  2. To provide filter criteria to process only certain documents automatically.
  3. To configure various tasks such as saving the extracted PDF data in a CSV file or a subsequent moving or printing of the document.

The program supports an unlimited number of profiles.

Extract PDF data from a variable position

For a variable position of the data, such as in invoices, delivery bills, or similar, the determination of the data area is done by a keyword (for example, invoice number:|invoice no.:|invoice #). After specifying the keyword, the position of the data area is selected (for example, right of the found location). You will get a live preview of the extracted value based on the sample files specified when creating the profile. Optionally, the extracted data can subsequently be cleaned, validated, and formatted.

If there are multiple extraction rules with the same name, it is sufficient if one of these rules produces a valid result. This way, discrepancies in the individual documents can be compensated. As the last rule of the same name, a user-defined text ( e.g., error, n.a., etc.) can optionally be provided as a value to indicate that the document did not include the expected data or that an adjustment of the rule is required.

When extracting data from documents such as forms or protocols, where the values are entered within a specified area, the data determination is position-based by moving a selection rectangle. The size of the selection rectangle can be adjusted. The extracted text is displayed above the preview of the document in real-time. Different versions of a form can be distinguished by using a filter for the document text.
